Our goal is to get you up and running as quickly as possible. If you or members of your staff want to learn how to 'go under the covers' and modify the FileMaker applications we have developed, we will show you how. If not, we will be there to support you and help make sure you have the reports you need. We chose the FileMaker platform because:

1  It is easy to change without risking stability problems,
1  People can learn to manage the data themselves reducing the need or expense of outside assistance/support,
1  Export / Import of data to / from other applications like EXCEL or ACCESS that already may be in use, is easy for non-technical people to do themselves,
1  Even if your applications or needs change, you agency or business has a stable base of operations and development that will support you well into the future---often without needing to purchase upgrades unless you really need the added features and functions.

What Features/Functions Does Agency Manager Provide?
Ultimately our goal is to fully address/support the unique needs of Domestic Violence Counseling and Addictions Counseling Agencies with integrated tools that allow service providers to focus on client needs without the continual drudgery of often paper-driven information management. To that end, we currently include:

1  Phone Message Management: For Intake Scheduling, Client Compliance & Tracking, Referral Source Contacts, Adjuncts Management, Counselor Follow-ups, etc.
1  Client Progress Tracking that is easy to follow and update via Group Logs, Session Logs, Billing Logs, Phone Logs, Treatment Logs, and Treatment Plan Status by Court-Related Case Number.
1  Referral Source Management – Provide Comprehensive Monthly Status Reports to Probation Officers that can be printed in batches by officer.
1  Adjuncts Management – Track Test Status, Results, Color Assignments and Compliance During All Phases of On-going Monitoring Requirements.
1  Counselor Schedules – One-on-one Session Scheduling allows flexible pre-planning and definition of staff schedules as well as allocation of intake availability, treatment update notifications, etc. This scheduling tool can be used extensively for reporting all client sessions to the client log and for billing or minimally for only those tasks and events that must be pre-planned.
1  Group Schedules – Complete attendance tracking can be gathered by month or by quarter for overall agency statistics down to individual attendance of regularly scheduled meetings. Pre-planning and scheduling of Group Meetings can be developed for the entire year or Clients can be added to a generally defined Group list from which drop-in attendance records can be created and tracked. Meeting Rosters, showing billing status and attendance status are included for group facilitator evaluation.
1  Automated Billing – Billing tasks have been fully automated to reduce the number of transactions you must report regarding the creation of client records. For example, after group a facilitator reports attendance using a data entry ‘roster’ that can automatically create both billing records and attendance records and allows the facilitator to record notes about the group in general, that meeting, or specific clients.
1  Secure Notes – Through out the system notes are available in nearly every record in a pop-up format for confidential notes. Security access can be controlled by field name allowing selected staff members to access the confidential pop-up to enter or review notes. Each entry can be automatically time & day stamped as needed.
1  Facilities Management – Room scheduling features are included so that visibility of scheduling conflicts for session rooms and group rooms can be simulated before those conflicts occur. Utilization of facilities for Counselor schedules, Group schedules, Intake schedules and even Adjunct schedules can be projected.
1  History Records & System Backups – Every large data file has its History counterpart in the system so when a particular database gets full or clients are discharged, those records can be moved to the history file and accessed as needed down the road should the client return for other services at a later date. Menu options are provided for closing down the system that automatically duplicate every file in the system and archives a backup copy to another data storage location of your choosing. If on the rare occasion that a file should be damaged, backup files can be renamed and activated within minutes of the event.
1  Human Resources Module & Accounting Interfaces – A comprehensive HR information tracking system for staff member data is included and can be used for both contracted staff as well as payroll staff. Custom interfaces to specific accounting software products can be developed for a fee, but typically data can be easily exported to EXCEL as a middle ground and then imported into your accounting software.

YOU are entitled to take and modify your copy of AM to fit your specific needs. If we can integrate those needs into our product we will—if it serves the larger needs of our client base. We can show you how to do several tasks yourself to help keep your costs down, like report formatting, etc…
